All changes to submitted Beamtime Requests will now need to be made using the new "BTR Change Request" option available on BeamPASS. Below you will find more information and guidance on this feature.
BTR Change Requests
All desired changes to Beamtime Request (such as adding or changing samples, incorporating new equipment, etc.) will now need to be submitted using the new "BTR Change Request" option available on BeamPASS. Please use this new feature rather than directly contacting the CHESS Safety Committee or your Beamlines Scientist. Be aware that if a request is submitted less than 2 weeks prior to your scheduled Beamtime, the request may be denied.
To submit a change request, navigate to your BTR's page. The easiest way to get to a BTR page is going to your BeamPASS homepage, navigate to the "My Beamtime Requests" widget, and click on the relevant BTR number. If you do not immediately see your BTR, click the "View All BTRs" button at the top right of the widget.

At the top of the BTR's page, you will see a new option to "Submit a change request." After clicking this button, you will be brought to a dialog box where you will submit a detailed description of the changes you would like made to your beamtime experiment. When adding additional materials and/or samples, list all additional materials (concentrations and amounts, when applicable) and equipment you are requesting to bring to CHESS, whether the additions are hazardous or not.


From this point, the change request will be reviewed by the Staff Scientists and members of the CHESS Safety Committee associated with your BTR. Only one change request can be submitted to a BTR at a time. Users will need to wait until a request has moved from its "Pending" status to a concluded status for a new request to be submitted. To view the status of your request's review, please navigate to the BTR's page, and to the "Change Requests" table.

When the change request's review has been completed, Users will be sent an email notification informing them of the result of the review. Change requests will be concluded with one of the following statuses:
Approved – The change request and its components have been approved by Scientific and Safety staff.
Denied – The request has been denied in full; none of the request's components can be implemented during your beamtime.
Partial – Some components of the request will be allowed for implementation during your beamtime. Example; a request is made to add 5 unique samples to a beamtime, but only 3 were approved after review. The conclusion will be set to partial and Users will be informed of the specific components that are approved to be added to the beamtime.
Once your change request has been concluded, your User group will be able to submit a subsequent change request if desired.
