This page details the information needed to ship samples or equipment to/from CHESS. Please note that we cannot adjust beam time if your materials do not arrive in time. We strongly urge you to plan your shipment to arrive at CHESS one day prior to your beam time starting.
Shipping FROM CHESS:
If you are at our lab and looking to ship FROM CHESS please go to CHESS User Office or CHESS Operations Desk.
Shipping TO CHESS:
To ship your samples to CHESS, please fill out the CHESS Shipping Form.
This form covers:
- Domestic and International Shipments
- Hazardous Shipments
- Return Shipments
- Shipping Labels
Please print the email that you receive upon completion of the form and include this in your shipment (along with any other documentation needed to return your shipment*) to ensure prompt delivery.
NOTE: Shipments are received Monday - Friday from 8:00 am to 4:00 pm Eastern Standard Time. No shipments are received on weekends or holidays.
We recommend that you do NOT use the US Postal Service for any shipments which are required for your beam time. Instead, we suggest using FedEx, UPS, or DHL.

General Shipping Information
The CHESS Shipping Form will guide you in addressing your package and identifying where your package needs to go within the lab.

If you are shipping materials or equipment from outside of the United States, please allow extra time for your items to clear through customs. It is always best to have a tracking number when shipping from outside the United States - this is usually only done via FedEx, DHL, or UPS utilizing the 2 or 3-day delivery process.
If you would like us to return your international shipment you will need to provide extra information, including:
- Item Classification
- Country of Origin
- HTS Code - Tariff Code (Schedule B Number)

Shipping Hazardous Materials, Equipment, or Dewars to CHESS
You can declare hazardous materials, equipment, and dewers on the CHESS Shipping Form. We will send this to our Safety Committee for approval upon submission.
- Items that have been deemed hazardous by the CHESS Safety Committee require special handling - please contact the CHESS User Office for further instructions.
- CHESS will refuse any hazardous shipments which have not been previously approved by the CHESS Safety Committee.
- Sometimes, users order hazardous materials from a vendor and have it shipped directly to CHESS (such as chemicals or compressed gases). You must obtain approval from the CHESS Safety Committee prior to ordering materials, and you must notify the Safety Officer and/or the CHESS User Office of what items you are having shipped directly to CHESS.
Dry Dewar Shipping
Please make sure to label your dewar with the following information:
- Dry Shipper
- Destination info (one of the following):
- Beamline (indicate beamline you are scheduled to work on, such as 7A, 7B2, etc.)
- Beamline Scientist
- Proposal Number
- Contact Name
If you do not empty the dewar of liquid nitrogen before sending, your dewar is considered to be hazardous and you must follow strict guidelines set forth by the shipper. (See above for shipping hazards to CHESS)
Be sure to ship your dewar early enough so that it arrives one day in advance of your scheduled beam time. Dewars are normally filled with liquid nitrogen upon arrival and delivered to the beamline you indicated. If you do NOT want your dewar filled with liquid nitrogen, please contact the CHESS User Office (CHESSUserOffice@cornell.edu).
Shipping Hazardous Materials, Equipment, or Dewars from CHESS
Prior to shipping your package to us, you should have indicated on the CHESS Shipping Form that you'd like your shipment returned to you and provided the required information. This information will be used to return your package.
Please contact CHESSUserOffice@cornell.edu to arrange for your return shipment.
NOTE: All dewars will be shipped dry and will be emptied of liquid nitrogen. If you require the dewar to be shipped with liquid nitrogen, you must note that on the shipping form and advise the CHESS User Office, as this makes the dewar shipment considered hazardous.
